2012 Banquet Minutes

                                Minutes of the Meeting 2012

 

Roll Call of attending clubs:

 

A roll call of clubs was taken by Secretary Nancy Platt with 34

out of the 38 clubs being represented.

 

Last years outstanding member award was given to Carl Richetelle by president Randy Gebelein

 

 

Secretary/Treasurer reports:

   

The Secretary made a statement that all of the show circuit paper work,

and forms are now on the NESC web site. Due to the increase in postage if 

various clubs were in charge of copying this information and giving it

to their respective members it would free up more money to be given

out in awards. All of the information that will be needed for the various

clubs has been entered on the web site for their convenience. Nancy noted

and reported on the slight decrease of animals that were shown this year.

In the open cavies there was a decline of 113, and the youth had a decline

of 104.  Open rabbits showed a decrease of 409, while the youth decreased by 43 animals. The overall decrease was credited to the economy and gas prices.  A statement was made hat this year is off to a great start with increased entries because of  clubs holding double shows.  Let’s hope the trend keeps going.  A new record of $2015.60 will be given out to the winners.  This is an increase  over last year which gave out a total of $1525.50.  This information was well received by the membership.  A motion by Donna Miodowski to accept as read, seconded by Ted Beebe.  Motion carried.

 

The treasurers report was given with an itemized detail of all income and expenditures.  By the time we pay the little odds and ends, the account will have $750 approximately left. 

 

The treasurer made a statement that everyone who receives a check should  be sure to cash it before the ninety day grace period ends.  After that checks will not be honored by the bank.  A motion by Pearley Emory and second by Valerie Tucker to accept as read.  This item passed.

         

 

Communications: 

 

An audit letter from the accounting firm of Conlon, Donlon, Orcutt, Patch and Stollard was read to the delegates.  All accounts, and monies are in good condition and being cared for properly.  A motion to accept by Sharon Sartori, second by Harold Schmidt.  The motion carried.

 

Committee Reports:  

                 

Pam Dunning made a report on the NESC show funds.  The report included the sum on hand as $2771.87.  Everyone was reminded that this year’s show is going to be held at the Spencer Fairgrounds on June 17th.  It will also be a double show held in conjunction with the NERCC as usual.  The catalog is presently being put together and will be placed on the New England show circuit web-site.

 

 

Old Business;

 

Last year the delegates agreed to use just the ear tattoo numbers instead of the coop numbers for one year only.  The report was given on the success of the project.  After a discussion the delegates agreed to keep it permanently. Alan brought up that since we are now allowing this, there needs to be a statement added to the by-laws to cover us.  The statement will read "it is left to the option of the various show secretary's and their clubs, to allow the use of coop numbers (or) the use of tattoo numbers".  This was agreed to by the delegates and will be added.  These new statements will be read at the next annual meeting. Valerie Tucker made the motion to accept and Sharon Satori second the motion.  This item was adopted by the delegates.

 

Another item from last year pertained to the awards for best in show, and reserve in show was talked about.  Alan explained how the awards were determined this year, and asked for assistance in what the clubs preference is for the next and up coming years.  After discussion the following formula was agreed to by the delegates:

Each best in show will receive 3 (three) points, and each reserve in show will receive 1 (one) point.  Next year this will be visited again.  This item will also have to be added to the by-laws, and will be done before the next meeting.

 

Alan brought up another item that will have to be corrected in the by laws.  In the award list for fifth (5) place it was noted that the percentages that are to be paid out were incorrect.  The totals came to 105% instead of the normal 100%.  Alan made some changes which he placed in front of the delegates.  A motion was made by Pearley Emory, and a seconded by Brian Thomas to pass these changes.  The delegates agreed and this change will be made to the by-laws. 

         

 

New Business:

               

Under new business the item of the web-site was talked about.  Pam Dunning the owner and operator of the site said she would be open to have someone assist with some of the items.  Jen Anderson came forward and will give Pam the help she needs.

  

Alan asked permission of the various club secretary's to hold 50/50 raffles at some of the shows, to raise money to support the extra awards that we are now giving out to the members.  This was well received and will happen at various shows during the year.  Hopefully we will be able to get some feed company that will assist in this project.

 

Randy talked about looking into starting a new England convention to be held yearly like the one in Pennsylvania.  Various items of this project were talked about.  A list of members that would like to help with this was taken and they will be contacted during the year for another meeting.  There is a plan to hold three shows with specialties.  A motion was made by Pam Dunning and seconded by Jan Silver to get the committee working.  This  passed by the delegates.

 

Alan asked that all show secretary's sign up so if there is any problems with the show they can be contacted directly.  A list was made and it will be placed on Nancy's computer for future reference.

 

 

Awards:

 

This years outstanding member award was presented to Randy Gebelein after a speech from his mother Martha.

 

As a surprise, another award was given out to Pam Dunning for her achievements for the show circuit.

 

Awards were given out to all of the recipients, the individuals not there would have the checks mailed to them, but not the certificates of achievements due to the high cost of mail.  They will be handed out when the individuals are seen at shows.  Anyone that has not shown in a long time period will have them mailed.

 

 

Each state held its election for the delegate for the year 2012.

The raffle for door prize's was held at this time.

A motion  was made by Pam Dunning to close the meeting at 3.30 p.m.  This was seconded by Pearly Emory.  Passed.
