2010 Banquet Minutes

                                Minutes of the Meeting 2010

The meeting was called to order by your president Alan Platt

Roll call of the clubs was taken. Of the 40 member clubs 37 of them were present and voted on all matters concerning the Show Circuit. Were there wasn’t any delegates for a club the president appointed one for this meeting.

It was announced that the Western Maine RBA club has rejoined the show circuit and that Pearly Emory was in attendance as their delegate. The membership gave a round of applause for the club rejoining .

The minutes of the 2009 meeting were read and approved by the membership.

The treasures report was read, with information on the term certificate totals. A question was asked what happened to the extra funds left over every year, and the answer is they are placed into the term certificate for a time in which they may be needed. A letter from the accountants was read stating that all monies and paper work are in good shape. A motion was made and second by the members and passed unanimously.

Committee Reports:

NESC:  Pam dunning reported that the double show would again be held at the Sturbridge gun club on June 13th. We need assistance at 7:00 A.M. to help setup the show room.  She also reported that there is approximately $2000 in the Show account.

Under Old Business:

The president stated that there is still a problem with clubs not getting the information to the show secretary so the points can be tabulated for the pay back and awards portion of the banquet. If any one has a problem with the format to please call Nancy for assistance.

The other problem area consist of names being changed, or just the mixing of the names for the points. There are times when the secretary knows the proper person to give the points to, but she has been told to enter any and all names as they come into her. She is not a liberty to alter anything from the reports. This is where many individuals that deep their points have a discrepancy with the show circuit totals. The information needed by Nancy is the same information that you send to the specialty clubs for the national points. Name of exhibitor, breed, variety, and number in the class.  If they show more than one breed or variety do for all breeds and varieties the same way. That’s all there is to it !!!!!

An item was presented by some of the membership that they can not get into the Show Circuit web site. Individuals with Mosilla or Firefox systems can’t open the l[inks. Pam’s husband will check this out and fix the problem.

New Business:

The old question to use or not use coop numbers was presented once again. After a lengthy discussion by the membership A motion by Sharon Sartori  to give clubs the OPTION to use or not use the numbers for a 1 year period to test the waters. Pam Dunning seconded the motion. During discussion Pearly stated that the Maine club left because of the demand to use coop numbers. Paul Jurgelonis stated that this is good reason to settle this debate now. The vote was called for by the President. This item won approval by an overwhelming majority. The clubs now have the option to either use or not use the coop numbers.

As an item of interest the Secretary stated that because of the double shows being held that the shows have had an increase of total number for the year. The only slight reduction was from the youth. Even the cavies showed a slight increase.

The President asked one of the youth (Tyler Craig) if he had any ideas to try and increase the youth membership. He stated that one of the concerns of the youth was that sometimes they get bored at the shows with not much to do. He will check with some of the youth to see what can be done. Some of the ideas was to have the youth learn to become writers for the shows sitting with one of the older individuals and get some ideas of what’s going on.  Another was to have scavenger hunts to increase the knowledge for future registrars, and ARBA judging teams. Other ideas will be brought forward and implemented during the year.

At this time Carolyn Klink was praised for a great meal, door prizes, and hall decoration for our banquet. If that wasn’t enough Carolyn also made the award certificates this year. Many comments were given on how good the food was, that there was plenty of food, and drinks for everyone. A motion was made by the membership to have Carolyn do the banquet food again next year. She agreed to this as long as she has some help. The prices will remain the same as this year and would like some ideas from the youth of what they would like to eat.  Some people have already signed up to help Carolyn with next years door prizes, and decorations. .

Lee Palmer will do the door pries

Mary Craig (Tylers Mom, the worlds best taco salad maker), and Kristian Stewart will help with the center pieces

Pam Dunning stated she will help with anything they need.

Elections:

The president called for nominations for the officers for next year. Harold Smith made a motion to keep the same slate of officers for another year. The motion was seconded by Sharon Sartori. The motion passed by the membership, and the Sectry cast one vote for the nominations to stay the same.  All of the various states got together and picked their state delegates.
